Privacy Policy

This policy explains how GinchyPrints uses and protects the information you give us when you commission a Ginchy print or order one from the Gallery.

Information we collect

When you request a commissioned Ginchy print, we collect your name, email address, proposed title and subtitle, the number of framed prints, any optional comments and code, your original photograph, your photograph ownership and permission confirmation, and the technical details needed to submit and protect the request.

When you order a finished Ginchy print from the Gallery, we collect your name, email address, the piece you have chosen, the number of framed prints and any optional comments and code.

When you confirm an order by either route, we also record your choice of collection or postal delivery, your acceptance of the Terms of Use and acknowledgement of this Privacy Policy, and — for commissioned orders — your answer to the optional Gallery-display permission.

If your order is being posted, we collect the delivery details you give us: the recipient name, optional company name, address, town or city, optional county or region, postcode and country.

We do not collect or store card or bank details through this website, because no payment is taken online.

Why we use it

We use this information to review your photograph and proposed wording, consider any comments, prepare your proof, contact you about it, prevent duplicate or fraudulent submissions, and arrange payment, printing and delivery if you choose to proceed.

Delivery details are used to work out the correct delivery charge, to confirm the complete total with you, and to pack and send your order to the right address.

We keep a record of the permissions and acceptances you give — photograph permission, final acceptance of the Terms of Use and Privacy Policy, and any optional Gallery-display permission — as evidence of what was agreed and when.

We do not use your information for marketing.

Private storage and access

Original photographs are stored privately through GinchyAdmin. Access is limited to authorised GinchyPrints administrators and relevant service providers acting only as needed to provide and secure the service.

Photographs and finished artwork are never added to the public Gallery automatically. A finished piece is only ever shown there if you have given the optional Gallery-display permission, and giving that permission does not mean it will be published.

Service providers

GinchyAdmin supports secure request and order handling and private photograph storage. Resend is used to send transactional confirmation and service emails, including proof and order-confirmation links. These providers process limited information on behalf of GinchyPrints for those purposes.

How long we keep information

We keep original photographs only for as long as needed to prepare your proof, complete any resulting order and deal with reasonable follow-up queries. Unless you ask us to delete your photograph sooner, we will normally delete it within 12 months of your request being completed, declined or becoming inactive.

We keep records of requests, proofs, orders and the permissions and acceptances you gave for as long as needed to run and evidence the transaction, and for any longer period required by law. We will not retain the original photograph for that reason.

Your choices and rights

You may ask for access to, correction of or deletion of your personal information. Some limited records may need to be retained where required by law.

If you gave permission for a finished Ginchy print to be shown in the public Gallery, you can withdraw that permission at any time and we will remove it from the Gallery.
